Delegate Management

 

Getting the delegates registered prior to the event, transferring them from the point of arrival to the hotel or venue, greeting them and registering them at the event, managing delegate movements so that they get to the right sessions at the right time, and to and from the venue itself, and dealing with delegate problems, requirements, questions and concerns sympathetically requires significant service skills, understanding, attention to detail and experience.  Doing it seamlessly and unobtrusively over the last 15 years means we have gained such experience, understanding and skills. In what is perhaps the most unglamorous aspect of event management you need a team you can rely on.  One that can represent you and your organisation in the way you want, whilst adding value to your event.

 

Programme Management

 

Managing the programme is also a key part of having a successful event. From making sure that everything is properly prepared and ready on schedule at each point of the programme, through having all the contributors in the right place at the right time to having contingencies ready and reacting to unforeseen issues should things go wrong, these are all key elements of good programme management.  Our team of experienced event professionals can make sure all of this happens the way the programme and you intended with maximum effectiveness and minimum fuss.

 

Technical Specification Management and Full Technical Rig Hire

 

Technology and events go hand in hand.  But event technology can be very specialist and esoteric.  This is where you need the best independent advice to ensure you have the right equipment you need to fully support all aspects of the event and the visual impact you are trying to create. No more and no less. In our experience there can be a tendency for some technical rig suppliers to over specify (after all they make money from the hire of the equipment they are recommending).  Our highly experienced team can read and review your technical rig proposal to help you to make sure you are getting exactly what you need and paying no more than you should for that specification.  Alternatively, working together with you, we can organise quotations to a defined and agreed specification we work up together (explaining our recommendations and their implications in non technical terms every step of the way).  We can then organise competitive tenders from proven and reliable suppliers that we work with so that we can select the most cost effective solution for the event matched to your precise technical requirements.

 

We can then manage the technical rig hire process (checking and organising all venue and event related insurance, safety and technical paperwork from the provider), providing the equipment itself by working with these trusted third parties, manage the delivery and rigging (making sure the technical rig suppliers deliver what was specified and the set builders build what we all agreed), and then test and trouble shoot during the set up process.

 

Stage Management

 

Once the programme has been decided and finalised we begin the process of producing the technical script for the event.  This is a moment by moment timetable that sets out precisely what is supposed to happen when in relation to staging, lighting, sound, video, filming, vision mixing, props, furniture, presentations and presenters and what has to be prepared when for the next point in the programme.  The development of this script is a key building block in the success of the event as it provides the stage manager or ‘caller’ with all the information they need to ‘call’ the ‘show’ or event.  Even though all of the technical crew will have a copy of this script, nothing happens until the stage manager, working from the script, calls for it.  So the stage manager (and their team) needs to have lots of event experience and a comprehensive understanding of your complete event from your aims and objectives, through the messaging, to all of the programme details and their technical implications.  Stage management is an event fundamental that underpins the success of any conference or event. That’s why we never leave this to the technical rig suppliers. Our stage management team are drawn directly from the senior team at Coussins Associates and will work with you from the first event planning meetings right up until the last delegate leaves the venue.
