Event Organisation & Planning

Getting the pre-event organisation right is the foundation to having a successful event. It’s where 98% of the ‘magic’ happens, and requires considerable thought, meticulous planning and copious attention to detail, ensuring that not a single thing is forgotten about. So we’ll help with:

Initial event concepts: We’ll start with deciding what you want to say. To who. When. Where. And how you’ll know if you’ve done that successfully.

Programme development: Producing a balanced programme that has the potential to inspire, educate, motivate, persuade and entertain is key. We know how to do that.

Site selection: This is about much more than just cost and location. It’s about delegate logistics – simple tasks are dramatically compounded when lots of people are there (try going to the toilet at half time in a football stadium!) – as well as technical implications, fit to your event and the onsite support and facilities.

Event venue branding & design: Making the venue conference hall your own is only the beginning.  You need to think about branding entire event site. From delegate packs and badges, presenter and delegate clothing and venue signage through to refreshment area and breakout room designs and messaging.

Content: The substance (no, not sustenance!) of your event – whether that’s PowerPoint slides, video, graphics, animations or simply presenters speaking – we can make your messages and presenters look good, sound great, and most importantly: deliver.

Stage and set design: This is where your delegates will be focused for large portions of the event, so it needs to look great. But it also needs to be practical and make the best use of the space.

 

Event Management

So the big day has arrived – and much like a first-time skydiver, you’ve got to take that leap of faith, trusting that everyone has done their job properly. Or in this case that your event is in good hands – let’s not be over dramatic. Although on some days it can feel like it’s the same thing!

Delegate management: Moving them around quickly and efficiently, making sure they’re where they should be (not going for round three of the buffet right before for the main keynote), ensuring everything is running to time and even (in true school teacher style) getting them to and from the toilets in the breaks!

Technical management: Making sure the lights, sound, music, presentations and videos play and appear as they should, when they should. And on no account having the ‘black screen of doom’ appear!

Speaker and entertainment management: Making sure they’re where they need to be and fully briefed so that the string quartet don’t start playing during the CEO’s opening.

Venue and events team management: Making sure the venue does everything they say they’re going to do, when they say they’re going to do it – so there’s no nasty surprises  We’ll make sure that everyone working on your event – from the caterers to the furniture hire – are completely aligned, and know exactly what they’re there to do, and what the schedule is. We do all the worrying, so that you don’t have to!
